
Start with the exact trailer requirement sheet
A restroom trailer plan needs more than a space marked on a venue map. Ask whether the proposed circuit is shared, whether power stays available throughout the rental period and who must approve its use. Do not treat a nearby outlet as confirmation that the arrangement will work. If an alternate power arrangement is needed, have the provider and venue define who supplies, approves and manages it before booking.
Resolve water supply and wastewater servicing
Ask whether the proposed trailer arrangement uses an approved site water supply, an onboard arrangement or another provider-managed option. Have the provider specify what the venue must supply and what is included with the rental. Confirm the proposed source location, its availability during all operating hours and who authorizes access.
Discuss wastewater servicing as a separate item. Ask how the provider will determine the service plan, what access the service crew needs, who arranges visits and what happens if the event schedule changes. Record any refill or servicing responsibilities explicitly. A water source alone does not resolve the full operating plan. Ask who monitors the arrangement during use and whom your onsite contact should call if water availability or the planned service schedule changes.
Review the trailer as it will actually be deployed
Mark the trailer's full operating area on the site plan using dimensions supplied by the provider. Include stairs, open doors, any planned access features and the room needed for delivery, positioning and removal. Ask the provider to review the proposed ground conditions, approach route and final position.
Photographs should show the route as well as the destination. Include gates, turns, overhead features and nearby objects that the provider should assess. Identify who controls adjacent parking or temporary barriers. Keep the reviewed route available through collection; a clear arrival path can disappear when the rest of the event is installed.
Confirm how guests will reach and use it
Walk through the proposed guest route with the venue contact. Consider where queues will form, how guests will find the trailer after dark and whether the approach crosses a vehicle or servicing route. Ask who supplies any planned lighting, signs or route management.
Describe the needs of your guests and ask which accessible features the exact proposed unit offers. Confirm the entrance arrangement and the route to it with the provider and venue. If a different unit or an additional arrangement is needed, make that part of the written plan before confirming the rental.
Coordinate the other vendors using the site
Share the proposed trailer location and utility plan with whoever coordinates catering, entertainment, tents and other rentals. Ask each vendor to identify competing use of the proposed power source, water access, delivery route or setup area.
Put the agreed assignments on one current site plan and name its owner. Record delivery order where one installation could block another, and check that servicing remains possible during use. A late change to a tent, kitchen or parking area should trigger another review of the affected trailer arrangements.
Get a written go or no-go before confirming
Bring the provider and venue responses into one short decision record: exact trailer, approved location, power arrangement, water arrangement, service access, guest access and responsible contacts. Mark unresolved items as pending and identify who must close each one. Request a clear written go or no-go based on the completed review. Keep the approved requirement sheet and dated site plan together, and circulate revisions to both contacts before acting on a change.
